Creating and managing chatbots

Names, use cases, limits, and the chatbot switcher.

You can run multiple chatbots from one account when your plan allows. Each chatbot has its own knowledge, settings, inbox, widget configuration, and automation.

Creating a chatbot

Use Create Chatbot from the dashboard (when you have none) or Create New Chatbot from the sidebar header switcher. You will set:

  • Name — Shown in the product and can be customer-facing depending on widget header settings.
  • Description — Optional context for you and your team.
  • Primary use case — Categories such as customer support, sales assistant, FAQ, knowledge base, lead generation, or a custom label.

After creation, you are typically guided toward Widget or Overview; you can always open Settings from the sidebar footer.

Switching chatbots

Use the chatbot switcher in the sidebar header to change context. The switcher shows your Active Chatbot, links to Your Chatbots, and offers Create New Chatbot. Knowledge, chat, and settings always apply to the selected chatbot.

Who can do what

Access depends on team membership and per-chatbot roles (for example read-only versus admin on a specific chatbot). If you were invited to someone else's chatbot, you might see a subset of navigation items—only owners and certain admins see Customers, Automation (except calendar-only access), or full Settings.

How to delete a chatbot

Deleting removes one chatbot and everything tied to it. Only users who can manage that chatbot's settings see the delete flow (owners and admins; read-only team members cannot delete).

  1. Select the chatbot you want to remove in the chatbot switcher.
  2. In the sidebar footer, open Settings, then choose the Danger Zone tab.
  3. Read the summary. Deletion is permanent and removes settings, conversations, messages, documents, widget appearance, AI configuration, integrations, modules configuration, and related files for that chatbot.
  4. Type DELETE (all caps) in the confirmation field.
  5. Click Delete Chatbot, then confirm again in the dialog (Yes, delete permanently).

After a successful delete, you are returned to the main dashboard and that chatbot no longer appears in your list.

Closing your account

To remove your entire Chatloop account (all chatbots, team data, and billing context), use Account from the user menu and Delete Account instead of deleting chatbots one by one. See Closing your account.
